Asset registers almost always start life as a spreadsheet, which makes them ideal input for bulk QR labelling. Upload the register, encode the asset tag, and you get one scannable code per item — ready to print, stick on, and scan for audits, maintenance and stock counts.

The most common and most expensive mistake in asset labelling is encoding descriptive data into the code: location, department, owner, purchase date, condition. It seems helpful. It is not, because a printed label is permanent and that data is not.
A laptop moves between desks. A pallet changes aisle every week. A pump gets reassigned to a different cost centre. The moment any of that happens, every label encoding it becomes wrong — and a label that confidently states the wrong location is worse than no label at all, because people trust it.

Building the register
Before generating anything, make sure every row has a genuinely unique identifier. If your spreadsheet does not have one, create it now rather than after the labels are printed.
- Make it unique and permanent. Sequential tags with a short prefix work well:
AST-000001upward. - Do not reuse tags. When an asset is disposed of, retire its tag. Reissuing it to a new item corrupts historical audit records.
- Do not encode meaning into the tag. A tag like
LON-FIN-LAPTOP-04breaks the day the laptop moves to Manchester. Keep it opaque. - One asset per row. If you track quantities of identical items, decide whether you are labelling each unit or each bin — they need different registers.

For most inventory work QR wins, mainly because any phone becomes a scanner — no hardware budget, and staff can do a stock count with the device already in their pocket. Linear barcodes still make sense on very narrow items and where existing scanners only read 1D formats.
Labels that survive the environment
Generating the codes is the easy part. Labels fail in the field far more often than codes do, and almost always because the stock was wrong for the environment.

Mounting matters as much as material
- Flat surfaces only. A code wrapped around a curved pipe or cable distorts and stops scanning. Use a flag or tie tag for round items.
- Be consistent. Same position on every asset of a type. Staff scanning two hundred items should never have to hunt for the label.
- Clean before applying. Dusty or oily surfaces are the top cause of labels falling off within weeks.
- Avoid wear points. Do not put labels where hands grip, trolleys knock, or pallets rub.
Sizing for scan distance
A useful rule of thumb: you need roughly 1 cm of code for every 30 cm of scanning distance. Handheld scanning at arm's length works fine at 1.5–2 cm square. If someone needs to scan a rack label from a forklift four metres away, that same code needs to be more like 13 cm square. Sizing for the wrong distance is why warehouse rollouts get re-labelled six months later.
Doing the stock count
- Upload the register and encode the asset tag column.
- Download the workbook — each row now carries its own QR image.
- Print the labels via mail-merge into your label template, and apply them.
- Keep the generated file. Individual labels can be reprinted from it later without regenerating the batch.
